About the Role
We are looking for a highly organized, hands-on, and execution-focused Marketing Coordinator to join our Austin team. This role will primarily focus on planning and coordinating customer-facing events, including our flagship Gem Fest events held approximately every other month, while also supporting offline marketing initiatives that drive local customer engagement and brand awareness.
The role is approximately 60% event planning and coordination and 40% offline marketing. The ideal candidate is a strong project coordinator who can manage multiple moving parts, work effectively with vendors and internal teams, and ensure marketing initiatives are executed smoothly and on time.
Key Responsibilities:
Event Planning & Coordination – 60%:
- Coordinate the planning and execution of recurring Gem Fest events and other customer-facing events.
- Manage event timelines, checklists, logistics, budgets, and deliverables from planning through completion.
- Coordinate with venues, vendors, merchandising, operations, creative, and other internal teams to ensure successful event execution.
- Manage event-related communications, promotional materials, signage, displays, and other marketing collateral.
- Coordinate event setup, on-site activities, customer experience, and post-event wrap-up.
- Track event attendance, customer engagement, revenue, and other key performance metrics.
- Prepare post-event reports and identify opportunities to improve future events.
- Maintain an organized event calendar and ensure all deadlines and deliverables are met.
- Support other local events, customer engagement programs, and promotional activities as needed.
Offline Marketing – 40%:
- Coordinate local and offline marketing initiatives to increase brand awareness, customer engagement, and event attendance.
- Execute marketing activities across print, direct mail, in-store, community, partnership, and other offline channels.
- Coordinate the development, production, and distribution of flyers, brochures, signage, promotional materials, and other marketing collateral.
- Manage marketing calendars, timelines, approvals, and deliverables for offline campaigns.
- Coordinate with external vendors, printers, agencies, and partners to ensure materials are produced and delivered on time and within budget.
- Support local promotional campaigns and initiatives tied to events, products, and customer acquisition.
- Track campaign results and provide basic performance reporting and recommendations.
Cross-Functional Collaboration:
- Partner closely with merchandising, creative, digital, customer experience, operations, and other teams to coordinate marketing and event activities.
- Serve as a central point of coordination for assigned events and offline marketing initiatives.
- Communicate timelines, responsibilities, and project updates to relevant stakeholders.
- Manage multiple projects simultaneously while maintaining strong attention to detail and execution quality.
Qualifications:
Required:
- 2–4 years of experience in marketing coordination, event coordination, event marketing, or a related role.
- Hands-on experience coordinating events, promotional activities, trade shows, customer engagement programs, or similar initiatives.
- Strong project management and organizational skills with excellent attention to detail.
- Ability to coordinate multiple projects, vendors, and deadlines simultaneously.
- Strong written and verbal communication skills.
- Comfortable working with vendors, internal stakeholders, and external partners.
- Proficiency in Microsoft Office, particularly Excel, Word, and PowerPoint.
- Ability to work on-site at events and support event setup and execution.
Preferred:
- Experience in retail, e-commerce, consumer products, jewelry, luxury goods, or lifestyle brands.
- Experience with print production, direct mail, signage, promotional materials, or other offline marketing channels.
- Experience managing event budgets and vendor relationships.
- Familiarity with marketing calendars, project management tools, and basic marketing reporting.
- Experience coordinating recurring customer-facing events.

Physical Requirements:
- Remain in a stationary position, often standing or sitting for prolonged periods.

- Be available to support event setup, execution, and breakdown as required.
